Privacy notice

This page explains, in plain language, what we collect through this site, why, and what you can do about it. It describes our current waitlist, not the planned bookkeeping product. Our handling of personal information is guided by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Privacy policy summary

  • What we collect: waitlist contact details, optional practice arrangement, type of therapy or wellness work, city and country, signup time and consent wording version, plus technical request information processed by our providers.
  • How we use it: to manage the waitlist, send requested product updates and pilot invitations, understand practice needs, and operate the site.
  • How we share it: Vercel handles site and signup requests, and Google Apps Script and Sheets process and store waitlist entries.
  • Your choices: skip the optional questions, unsubscribe, or contact us to request access, correction or deletion.

What we collect, and why

When waitlist signup is open, we collect:

  • Practice name or your name, and email: to identify you or your practice and send occasional officeHours product updates and future pilot invitations.
  • Practice arrangement (optional): to understand who the planned tool should support. This answer is research, not a purchase.
  • Type of therapy or wellness work (optional): to understand the work you do and research relevant requirements.
  • City and country where your practice is based (both optional): to understand where prospective users’ practices are based and which regions to focus on as we grow.
  • Signup time and consent wording version: to record when you requested updates and which signup notice applied.

Joining the waitlist requests occasional officeHours product-update emails and future pilot invitations, as explained beside the email field. Browsing this site does not sign you up for those emails.

Hosting and service providers may process technical request information, such as IP addresses and operational logs, to deliver and protect their services. If you email us about privacy or the waitlist, we use your email address and message to respond and handle your request.

Please do not submit client information, clinical records, receipts, or financial documents. This site does not accept receipt uploads or process payments.

How we use and share it

Vercel hosts the site and processes the signup request. Validated signups are forwarded to Google Apps Script, running under the officeHours operator’s Google account, and saved in a private Google Sheet. Access is limited to the operator and any explicitly authorized collaborators. The Sheet is not publicly shared.

We use these services to operate the site and manage the waitlist for the purposes described above. We remain responsible for personal information transferred to service providers for processing on our behalf.

Signup does not trigger an automated welcome email. We currently manage the list manually. If we introduce a service for sending product-update campaigns, we will name it here before using it for your information.

Cookies and tracking

We do not add cookies, analytics or tracking scripts to this site. Hosting and service providers may still process technical request information as described above. Before introducing cookies, analytics or tracking, we will update this notice and obtain consent where required.

Where it is processed

Vercel and Google may process information outside Canada. We do not promise Canada-only storage. Information processed in another country may be subject to lawful access by courts, law enforcement or other authorities in that country. Their privacy information is available from Vercel and Google.

How long we keep it

We keep signup details and optional answers only while needed to manage the waitlist and provide the updates you requested. Before using the list to send updates or invitations, we will review whether those details are still needed and remove information that no longer serves those purposes. If the waitlist or project ends, we will delete the list and any exports we manage.

You can unsubscribe or request deletion earlier. We remove your signup details and optional answers from the active waitlist and any exports we manage when handling your request. Service-provider backups and technical logs follow the providers' own retention processes.

How we protect it

We use Vercel and Google's infrastructure to host the site and process signups. The waitlist is stored in a private Google Sheet with access limited to the operator and explicitly authorized collaborators. Signup requests are validated before storage.

The application does not intentionally log form contents or credentials. These measures reduce risk, but no security measure or method of transmission or storage is absolute.

Your choices

  • You can leave any or all of the optional practice arrangement, therapy or wellness work, city and country questions unanswered.
  • Email bryan.chuinkam@gmail.com to unsubscribe or ask for deletion. Unsubscribing withdraws your request for future product-update emails and pilot invitations.
  • Joining the waitlist does not start a paid subscription or guarantee pilot access.

Accessing and correcting your information

You can request access to the personal information we hold about you and ask us to correct inaccurate or incomplete information. Email bryan.chuinkam@gmail.com with your request. We may need to verify your identity before providing access or making changes, using only the information needed for that verification.

Changes to this notice

As officeHours grows past this early stage: more forms, new tools, or an eventual product, this notice will be updated to match, and the "last updated" date above will change accordingly.

Before significant changes to how we use or disclose your personal information, we will notify you and obtain fresh consent where required. Updating this notice alone does not authorize new uses of your information.

This page describes officeHours' own data practices. It is not legal advice about privacy law compliance (including PIPEDA or CASL) for your own practice or business.
